Terms and conditions

1. Definitions

In this document, the following expressions, whether singular or plural, shall have the meanings specified below:
“Facility”: the accommodation facility identified on the website 4starbologna.com, located in Bologna, Italy.
“Guest”: the individual or legal entity making a reservation and staying at the Facility.
“Reservation”: the booking request confirmed by the Facility according to the procedures indicated on the website.
“Rate”: the price applied for the room and any additional services indicated at the time of booking.
“Online check-in”: the digital registration procedure of the Guest prior to arrival.
“Access code” or “personal code”: the code sent by email allowing autonomous entry into the Facility.
“Tourist tax”: the municipal tax imposed by the City of Bologna, to be paid by the Guest in accordance with applicable laws.

2. Subject of the contract

2.1. These terms govern the relationship between the Facility and the Guest from the confirmation of the Reservation until check-out.
2.2. The Reservation confirmation is a necessary condition for the accommodation contract to be considered concluded.
2.3. The contract concerns only the accommodation service and any ancillary services expressly indicated at the time of booking.

3. Rates, payment and guarantee

3.1. Rates are in euros and are those indicated at the time of Reservation confirmation.
3.2. Payment may be made by credit/debit card, Nexi, or bank transfer in advance, within the terms specified at confirmation.
3.3. For bank transfers, proof of payment must be sent to [email protected]
. Failure to provide proof within the stated period may result in cancellation of the Reservation and loss of any deposit.
3.4. If a credit card is requested as a guarantee, the Facility may retain the card details solely for security purposes, without pre-authorization unless otherwise indicated.
3.5. Rates do not include the tourist tax, which will be charged separately according to the regulations of the City of Bologna.

4. Check-in, access and check-out

4.1. Rooms are available from 3:00 p.m. on the day of arrival. Early check-in is subject to availability and possible extra charges.
4.2. Check-out must be completed by 11:00 a.m. Late check-out is also subject to availability and additional costs.
4.3. Access to the Facility is autonomous: after online check-in, the Guest will receive detailed instructions and a personal access code by email.
4.4. The Guest agrees to use the access code correctly. The Facility shall not be liable for service issues arising from misuse or negligence.

5. Modification, cancellation and no-show

5.1. Cancellation and modification terms are shown in the selected rate plan.
5.2. In general:
– Free cancellations within the indicated deadline: full refund or no charge.
– Cancellations after the deadline: total amount charged (or as per rate plan).
– No-show: total amount charged.
5.3. No refund shall be due for early departure unless otherwise agreed in writing.
5.4. The Facility reserves the right to terminate the contract and retain all amounts paid if the Guest violates one or more clauses of this document or internal rules.

6. House rules, liability and damages

6.1. Pets are not allowed.
6.2. The Facility is non-smoking. Smoking is prohibited in rooms, bathrooms, and common areas; violation may incur cleaning or sanitization fees.
6.3. Unregistered guests, parties or unauthorized events are not permitted.
6.4. The Guest is liable for proper use of furnishings and equipment. Any damage or loss will be charged to the Guest.
6.5. The Facility is not responsible for valuables left unattended. Guests are encouraged to use the safe or keep valuables with them.
6.6. In emergencies (fire, alarm, danger), the Guest must follow Facility and authority instructions; failure to comply may lead to eviction.

7. Cleaning, linen and additional services

7.1. The rate includes final cleaning and linen change as specified in the room description.
7.2. Additional cleaning or linen changes may incur extra costs, communicated in advance.
7.3. Optional services (e.g. breakfast, late check-out, bike rental, transfers) are not always included and, if requested, will be charged separately.

8. Tourist tax

8.1. The tourist tax is not included in the room rate unless otherwise stated.
8.2. The tax will be charged during the online check-in process or at the Facility’s office, in accordance with current municipal regulations.
8.3. Any changes to local legislation will automatically apply to the Guest.

9. Data protection (Privacy)

9.1. The Facility ensures processing of personal data in compliance with EU Regulation 2016/679 (GDPR).
9.2. Data provided during reservation and check-in are used for booking management, access control, assistance, and operational communication.
9.3. Guests may exercise their rights to access, rectify, erase, limit, or transfer their data.
9.4. Common areas may be monitored by CCTV for safety and property protection, in compliance with privacy laws.

10. Force majeure and unforeseeable events

10.1. Neither party shall be liable for failure to perform obligations caused by events beyond reasonable control, including natural disasters, strikes, pandemics, or public authority orders.
10.2. In such cases, the Facility will make reasonable efforts to offer an alternative solution, but no refund is provided.

11. Offer modifications and overbooking

11.1. The Facility may, for technical or operational reasons, assign an equivalent or superior room.
11.2. In case of overbooking, the Facility will offer an alternative accommodation or refund the amount paid.

12. Complaints and assistance

12.1. Complaints can be sent to [email protected]

12.2. The Facility will reply within a reasonable time (normally within 14 working days).
12.3. Guests are encouraged to seek an amicable settlement before taking legal action.

13. Governing law and jurisdiction

13.1. These conditions are governed by Italian law.
13.2. The competent court is in Bologna, Italy.

14. Acceptance of terms

By confirming the reservation, the Guest acknowledges having read, understood and accepted these General Terms and Conditions and the Facility’s internal rules.

PRIVACY POLICY – Information on the processing of personal data pursuant to Article 13 of Regulation (EU) 2016/679

Personal data are collected and processed when guests make a reservation, complete online check-in, stay at the facility, or communicate with the staff. The categories of data processed may include identification data, contact details, booking and stay information, payment details limited to the transaction, browsing data, and images recorded by video surveillance systems in common areas. Sensitive or special categories of data are not processed.

Data are processed for the following purposes: management of reservations, check-in and accommodation; compliance with administrative, fiscal, and legal obligations; communications with guests by email, telephone, or WhatsApp; protection of property and security through video surveillance; sending of promotional messages, newsletters, and special offers upon explicit consent; statistical analysis and service improvement through technical and analytical cookies. The legal bases of processing are the performance of a contract, compliance with legal obligations, explicit consent, and the legitimate interest of the controller.

Data are processed using manual, electronic, and digital tools in accordance with the principles of lawfulness, fairness, transparency, relevance, and security established by Regulation (EU) 2016/679. Appropriate technical and organizational measures are applied to ensure data protection against unauthorized access, alteration, or loss.

Personal data may be communicated to authorized staff and external parties collaborating with the controller for purposes related to the provision of services, such as administrative or technical consultants, IT service providers, booking platforms, payment institutions, and public authorities where required by law.
Among the main external processors, where applicable, are Solutions Plus S.r.l. (VAT no. 07375150724), operator of the KrossBooking platform used for managing reservations, and Nexi Payments S.p.A., for the processing of electronic payments. Data are not transferred outside the European Economic Area. Should future processing involve transfers to non-EU countries, such transfers will take place in full compliance with Articles 44 et seq. of Regulation (EU) 2016/679.

Personal data will be retained only for the period necessary to achieve the purposes for which they were collected. Specifically, administrative and fiscal data are retained for ten years; booking and communication data for up to twenty-four months after the end of the stay; marketing and newsletter data for twenty-four months from consent; video surveillance images for up to seven days, unless extended due to investigations or specific events; and technical browsing data for twelve months or in anonymized form. After these periods, data will be deleted or irreversibly anonymized.

Data subjects have the right to access their personal data, request rectification or erasure, restrict or object to processing, and request data portability. They may also withdraw consent at any time without affecting the lawfulness of processing based on consent before its withdrawal. Requests should be sent to [email protected]

The common areas of the facility may be subject to video surveillance for security and asset protection purposes. Images are stored for a maximum of seven days, unless extended due to specific security needs or requests by competent authorities.

The website uses technical cookies necessary for its proper functioning and, subject to user consent, analytical and profiling cookies from third parties such as Google Analytics. Analytical and marketing cookies are installed only after explicit consent through the cookie management banner. The services provided are not intended for individuals under the age of 16. Any data provided by minors will be deleted as soon as the controller becomes aware of it.

The processing of personal data is governed by Regulation (EU) 2016/679, Legislative Decree no. 196/2003 and subsequent amendments, as well as the provisions and guidelines of the Italian Data Protection Authority.
